The invoicing process of CareMaster commences with a user-friendly dashboard that displays invoices that have been earmarked for invoicing. This tabular representation offers a unified view of all available invoices to the account manager. The intuitive checkboxes enable effortless manual filtering. Multiple invoicing lines can be selected in bulk or within a specified date range, especially for organisations that invoice periodically. Subsequently, these selected invoices can be approved and dispatched to Xero for further processing via a straightforward visual editing interface. Invoices can also be filtered by specific participants or service organisations, such as Plan Manager supports, to cater to invoicing requirements. The filtering options extend to invoices that are linked or not linked as well.
To perform a manual review of a particular invoice and its particulars, users can click on a button located to the right of the corresponding invoicing line. This action will reveal the invoice’s specific details. Users can effortlessly edit any aspect of the invoice in manual mode, including descriptions. Once the user is satisfied with the review and has confirmed the accuracy of the invoice, they can click a button to send either an individual invoice or a group of invoices in bulk to Xero. By sending this information to Xero, the invoice number will be attributed to the specific support in CareMaster and marked as invoiced. Additionally, CareMaster will maintain a record of the person responsible for invoicing the support and the date for audit purposes.

The “Total number of days after the invoice date” feature manages a specific period of time after the invoice date. The “Default due date time” feature manages a predetermined date that signifies when an invoice is past due. This date can be edited as needed. Additionally, the “Default Invoice status” depends on the outcome once the invoice is sent to Xero and offers various options to choose from. For instance, if an invoice is set as “Authorised,” it cannot be edited and is ready to be sent for payment.
This functionality facilitates a more sophisticated methodology for the incorporation of content within all components of an invoice, encompassing the subject description, service date and time, and total charge hours per day, week, and so forth. Moreover, invoice references can be customised to enable the tracking of invoices across different areas of the business.
Setup and Apply Rates With Ease!
CareMaster possesses a pre-established roster of industry rates. This section permits the utilisation of rates contingent upon the services rendered. As a result, CareMaster can competently apply the appropriate rate to the relevant shift in both Xero and CareMaster, if necessary, such as when a company’s relevant rates are not yet incorporated into Xero.
The tool in question facilitates the process of associating a Participant with a Plan Manager, parent, nominee, or NDIA contact, specifically for the purpose of invoicing. In addition, this feature offers the added benefit of selectively identifying which service supports are invoiced to each respective party. This process may be implemented in bulk by selecting multiple participants, service types or organisations if required and applying them to for example a Plan Manager.
